Stretton on Dunsmore Charities (“the Charity”, “we”, “our”) is a registered charity in England and Wales (No. 217992). This policy explains how we collect and use personal information, and your rights under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

- Information you send us. When you contact us by email — for example to make a grant enquiry or ask a question — we receive your name, email address and the contents of your message.
- Grant application information. If you apply for a grant, you may share further personal details (such as household circumstances) that are relevant to your request. We only collect what is necessary.
- Technical information from this website. Our website does not set tracking cookies or run analytics. Basic server logs (such as IP address and timestamp) may be kept by our hosting provider for security purposes.
3. How we use your information
We use your information:
- to respond to your correspondence;
- to consider and administer grants;
- to keep proper records as required of a registered charity; and
- to comply with legal and regulatory duties.
4. Lawful basis
Our lawful bases for processing are:
- Legitimate interests: responding to correspondence and administering the charity.
- Legal obligation: record–keeping required of charities.
- Consent: where you have clearly asked us to do something specific with your data.

We do not sell personal data and we do not share it with third parties for marketing. We may share information where we are required to by law, or where it is strictly necessary for the administration of a grant (for example, making a payment). Information about grant applications is only seen by our trustees.

We keep correspondence and grant records only for as long as necessary for the proper running of the charity and to meet our regulatory duties. Unsuccessful enquiry correspondence is typically retained for no more than two years.

Our trustees take reasonable steps to keep personal data secure, including restricting access to those who need it and using reputable email providers.
8. Your rights
Under UK data protection law you have rights to access the personal data we hold about you, to have it corrected if it is wrong, to ask us to delete it in certain circumstances, and to object to or restrict certain processing.
